Eirena Practice Platform

EFFECTIVE OCTOBER 28, 2026

Privacy Policy

Operator: Eirena Psychiatry PLLC. Contact: probetelehealth@gmail.com. Effective date: October 28, 2026.

Information the service processes

The platform processes account and workspace details, staff permissions, task entries, and supported activity records. When authorized, it also processes connection credentials, selected calendar identifiers, appointment details, verified patient-to-conversation links, and the information practice staff submit through enabled features. Do not submit unnecessary patient information.

Google Calendar access

A practice owner or administrator chooses a Google account and authorizes read-only Calendar access. The platform can list available calendars, retain the selected calendar IDs, and read calendar data for supported scheduling and verification features. Calendar authorization does not permit this connection flow to create, change or delete calendar events.

Google Calendar information is used to provide the connected practice's requested features. It is not sold, used for advertising, or used to train general-purpose AI models. Calendar data is not sent to OpenAI by the calendar-connection flow. Use of information received from Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements.

Spruce and optional AI features

A practice administrator may provide an organization token and select a conversation to verify that connection. The token is encrypted before it is stored in the private database. Spruce patient messaging and optional AI reply features require separate configuration and authorization; simply connecting Spruce does not enable automatic messaging. Where an AI feature is enabled, its interface identifies the content sent for that feature. AI features are provided using OpenAI where configured.

Service providers and access

Google Cloud hosts the platform and its configured storage and secrets. Connected services, including Google and Spruce, process requests made through their integrations. OpenAI processes content supplied to enabled AI features. Authorized practice staff and authorized service operators may access information needed to operate or support the service. Access is limited by configured workspace permissions and operational needs.

Storage and security

Connection credentials are encrypted and bound to the workspace and provider. Encryption keys are held in Google Secret Manager. Sign-in and workspace authorization protect private features. No service can guarantee absolute security.

Retention and requests

Stored workspace records remain until removed through an available control or by an authorized operator. Contact the operator to request access, correction, disconnection or deletion. The operator must verify authority before acting. Backup copies, security records and information required for legal or practice obligations may remain after a request. The service does not currently offer a single automatic retention period for all record types.

Your choices

Choose only the calendars and features your practice needs. You may revoke the platform's Google access in your Google Account permissions. Revoking access prevents future authorized requests but does not by itself delete records already stored by the platform. Contact the operator to address stored records.

Practice responsibilities and changes

Practices are responsible for their own patient notices, authorizations and record-handling obligations. This policy describes platform handling and does not replace a practice's patient privacy notice. Updates will be posted here with an effective date.
